A UK Police Force discovered that their staff members were devoting an excessive amount of time to complete the prosecution paperwork required for submission to the CPS.
Forge Technologies helped them to reduce workload and concentrate on their assigned tasks; enforcing safety and harmony in their communities.
The Activity
Forge Technologies were tasked with developing a streamlined system to reduce the burden and time taken by personnel in a UK Police Force to complete the forms and data required to process applications for prosecution to the Crown Prosecution Service (CPS). The aim was to increase the accuracy of submissions and reduce the number of rejections and rework required from the CPS disclosure team.
After surveying the current processes and numerous forms that needed to be completed, we identified areas where duplicate data was required to be populated and the order in which the data had to be submitted for a successful application to prosecute. To address these issues, we developed a document generation tool using Office XML templates in Word or PDF documents. The tool identified data elements commonly required across the relevant form submissions.
Furthermore, we identified cases where submissions had been rejected by the CPS due to incorrect form format or errors in data and continuity, resulting in delays or rejection of processing a prosecution submission.
The Result
We developed a data processing architecture that streamlined the capture of common data and population throughout the necessary paperwork for submission to the CPS disclosure team. This was accomplished within three months. As a result, the police force was able to significantly reduce the manual effort required by its personnel in creating the disclosure content. This, in turn, reduced errors and increased the likelihood of prosecution, as the data was always presented in the correct format with every submission.
Ultimately the police personnel involved in preparing paperwork for prosecution found themselves with more time to do their assigned job, enforcing safety and harmony to their communities, as opposed to data inputting and reworking submissions for the CPS disclosure team.
